Safety file FAQs

What is a Health & Safety File?

A Health & Safety File is the compulsory pack of documents a contractor compiles and hands to the client for a construction project, in terms of the Construction Regulations 2014 under the OHS Act, 1993. It contains the OHS policy, legal appointments, risk assessments, method statements, medicals, competencies, registers and proof of registration.

Is a Health & Safety File a legal requirement in South Africa?

Yes. Under Construction Regulation 7, the principal contractor must keep and maintain a Health & Safety File on site and make it available on request. Clients require the file before construction work may begin, so a compliant file is essential for winning and starting a tender.

What goes into a construction safety file?

A safety file contains the OHS policy, legal appointments (16(1), 8(1), 8(2), risk assessor, first aider, SHE rep and more), the site-specific health & safety plan, baseline and task risk assessments, method statements, medical certificates of fitness, competency certificates, induction and toolbox-talk records, incident and inspection registers, the COIDA Letter of Good Standing and proof of insurance.

How do I compile a safety file quickly?

With CertSure you enter the tender details, tick the requirements that apply, generate the standard documents and risk assessment, pull in your operators' and machines' compliance, and download one submission-ready PDF — a process that normally takes days done in minutes.

Does CertSure generate the documents for me?

Yes. CertSure generates standardised, pre-filled documents — appointment letters (16(1), 8(1), 8(2), etc.), OHS policy, health & safety plan, emergency and fall-protection plans, PPE policy and register templates — using your company and project details. You upload only third-party certificates such as the COIDA Letter of Good Standing and medical certificates.

Can it build a risk assessment from the scope of work?

Yes. Select the activities that apply to your job — excavation, mobile plant and earthmoving, water supply, work at height and more — and CertSure assembles a full risk assessment with standard hazards, risk ratings and control measures, based on the Construction Regulations 2014.

Is it built for South African contractors?

CertSure is built for South African construction, plant hire, earthmoving, civils and water-supply contractors, aligned to the Construction Regulations 2014 and the OHS Act, 1993.

How much does the safety file software cost?
